Privacy Policy

This Privacy Policy describes how Haylau Apps (“we”, “us”) handles information for the Handicap Calculator & Tracker mobile application (the “App”) and the public website hosted at *.web.app and any connected custom domains (the “Site”).

What we collect

App (solo mode): By default, the App stores your data locally on your device using on-device storage (e.g., courses, players, rounds, handicaps and basic stats such as fairways, greens in regulation and putts). We do not receive this solo-mode data on our own servers; it remains on your device unless you choose to export it (for example, as a JSON backup or PDF summary).
Groups & cloud sync (optional): If you create or join a Group in the App, a copy of your shared golf data is stored in Google Firebase Firestore so that all members’ devices can stay in sync. This shared data typically includes:
- Player names and optional email addresses;
- Course details (name, par, rating, slope, stroke index);
- Round data (scores, handicaps, and optional stats such as fairways, greens and putts);
- Technical identifiers such as an anonymous Firebase user ID and a group ID.
This data is used only to provide the group features (shared scorecards, handicap tracking and summaries) and is not sold to third parties.
Crash/diagnostics: We do not include analytics or crash reporting in this version of the App. If added later, we will disclose the provider and data categories here.
Contact: If you email us, we receive your email address and the contents of your message. We use this solely to respond and resolve your request.

Website data

The Site is a static page hosted on Firebase Hosting (Google). As with most web servers and CDNs, standard technical logs (e.g., IP address, browser type, timestamp, requested URL) may be processed to operate and secure the service. By default we do not set analytics cookies. If you accept analytics on the cookie banner, Google Analytics 4 may set first-party cookies to measure visits. See “Analytics (optional)” below.

Analytics (optional)

We offer optional, consent-based Google Analytics 4 on the Site to understand visits (e.g., page views, approximate region, device/browser types). Analytics only loads if you click “Accept” on the banner. We configure GA to minimise data (e.g., IP anonymisation) and we do not enable Google Ads features.

Cookie names may vary by property. We enable IP anonymisation and do not enable Google Ads features.

How we use information

Provide and improve the App and Site.
Provide optional Groups & cloud sync so your regular playing partners can share courses, rounds and handicaps.
Respond to support requests and inquiries.
Maintain security and prevent abuse.

Legal basis (UK & EU users)

Performance of a contract — to provide the App features you choose to use, including Groups if you enable them.
Legitimate interests — to keep the Site secure and answer your messages.
Consent — for optional analytics and optional donations if you choose to use them.

Data retention

On device: Your App data stays on your device until you delete it, reset local data, or uninstall the App.
Group & cloud data: If you use Groups, shared player, course and round data is stored in Firebase Firestore for as long as the group exists. The group owner can delete the group from within the App, which removes the shared group data from Firestore. You can also contact us to request removal of group data (see “Delete my data” below).
Support messages: We keep emails only as long as needed to resolve your request and for reasonable record-keeping.
Analytics: Google Analytics retains data per its configured retention and system policies; we set the data retention period to 2 months.
Donations: Basic transaction records may be retained as required by law; donation messages can be deleted on request.

International transfers

Google LLC (provider of Firebase Hosting, Firebase Firestore and Google Analytics) may process hosting, sync and analytics data outside the UK/EEA. These transfers are protected by the EU Standard Contractual Clauses with the UK International Data Transfer Addendum, and other measures Google implements for its services.

Children

The App and Site are not directed to children under 13. We do not knowingly collect personal data from children.

Third-party services

Firebase Hosting (Google) — Site delivery and security.
Firebase Firestore (Google) — optional cloud storage for groups, storing shared players, courses, rounds and stats when you create or join a Group in the App.
Google Analytics (optional) — site usage insights if you consent.
Email — handled by your email provider and ours when you contact us.
App stores — Google Play / Apple App Store store pages you visit are governed by those platforms’ policies.

Delete my data

You have several ways to control or delete your data.

Delete data on your device

You can remove all locally stored data at any time from inside the App:

Open the App ? Backup / Restore / Reset ? Reset local data on this device.

This clears all players, courses, rounds, settings and Quick Round drafts from that device.

Delete shared group data (cloud)

If you are the group owner, you can delete the shared group data stored in Firebase Firestore:

Open the App ? Group & Sync ? use the Delete group for everyone option.

This will remove the group and its shared scores from the cloud, and all members will return to solo mode the next time they sync.

Request deletion by email

If you need help deleting data, or would like us to remove any remaining cloud data associated with your group, please email haylauapps@icloud.com with:

the app name (Handicap Tracker),
your group name (if you use Groups), and
a brief description of what you want deleted.

We will respond and confirm once the data has been removed or explain what we can do in your situation.

Changes

We may revise this Privacy Policy from time to time. The “Effective date” will indicate the latest version. Material changes will be highlighted on this page.
